Follow on Google News | We Know That A Paperless Office Is Best For The Environment, But How Realistic Is It In Practise? We all know that a paperless office is best for the environment, but how realistic is it in practise? We ask some questions and suggest some answers, plus some hints and tips too.
By: OfficeShopping.co.uk There are lots of reasons to go paperless – the environment obviously is the main reason many of us decide to switch over. Saving money on toners and paper is another. And then there’s the end to filing endless bits of paper which will never be seen again (my personal pet hate). But I question whether a paperless office is truly possible, and whether it is actually creates the best working environment too. There are of course the inevitable costs associated with moving towards a paperless office which many small businesses will struggle to fund in the current climate. Then there are technological difficulties to face, such as file format compatibility, data storage and system stability – as well as ensuring employees have the technical skills required to maintain new digital systems. And we mustn’t forget the inevitable reluctance for change, and the reassurance of having something we can actually touch brings. Technology will undoubtedly make life easier and reduce costs in the long term, but contrary to the predictions of the paperless office, it might surprise many to find out that the introduction of computers has actually increased paper use. However committed we are to being more environmentally friendly, I believe that there will always be a need to keep your printer close to hand. Whilst the Government remains behind the times, maintaining the legal requirement for certain documentation to be kept physically on file, we will inevitably need to keep certain bits of paper on file. I am also a believer that there are some things you just need to see in black and white, and then there’s an argument that its sometimes just nice to have something tangible in your hand… Here are a few tips to help you get started: Think before you ink… 3 easy steps to reducing paper usage in your office • Think before you ink • Preview your documents • Print to PDF Save, Save, Save • Save money on ink by buying compatible ink toners and cartridges. • Save the environment by printing out less paper. • Save on waste by recycling your toners and cartridges for charity.
