One of the great things that happened to me was as a young lieutenant in the Air Force they forced me to start using a Franklin (Covey wasn't a part of it back then) planner. Though I was dragged kicking and screaming into the world of computerized planning, I still have my 30-year old planner and the original leather binder. The zipper doesn't work any more! The key with proper planning and prioritization is that it doesn't take time - it makes time. I am not extremely good at incorporating all of the sophistication that Franklin - Covey teaches. Things like incorporating goals and action steps on a daily basis is not something I have consciously done in my daily work. At the same time, I am excellent at two tasks. The first is the daily time management (also called time blocking). The second is in prioritization of tasks. Getting these two areas done well will have a phenomenal impact on you in a very short period of time. Here's how I do it. The person I learned this from (Greg Frost) actually uses 15 minute segments. I used to do that and found it was too cumbersome for me. You will have to find what time period works best for you. In any case, my day is set up in 45 minute segments. I choose 45 minutes because my allocated time for an initial appointment with a client is 45 minutes and my allocated time for a follow up appointment is 90 minutes. You can already see a benefit. By scheduling this way, I legitimately can cut off a prospect or client that is rambling on. I truly do have an appointment waiting. It really helps with the 25% or so that is an issue with. So, I never schedule a same day appointment. Ask my staff. NEVER means NEVER! There are several reasons for this. The first is planning. The second is perception. Do you really want to work with an expert advisor that has so little to do that he or she can get you in TODAY??? You simply cannot get that appointment with me - unless it is something that I want to do for a specific purpose. That being the case, at the beginning of the day - I know my exact appointment schedule. It is not going to change (except for cancellations) I then treat that task assignment like I would any other appointment. I don't have to think about what I am going to do. It is right there in front of me on my calendar. This effort alone will de-stress you amazingly and improve your productivity by 20-30%. It is incredibly valuable.
