Forest Park Medical Center to Auto Index Electronic Patient Forms in Hyland OnBase with Access IFS

Feb. 1, 2011 - PRLog -- To help advance its electronic health records (EHR) initiative, Forest Park Medical Center decided to implement OnBase, an enterprise document management (ECM) system from Hyland Software. HIM Director Erica Buckley and her team realized that relying on paper forms would limit the effectiveness of this solution, because staff members would still be spending time on manually indexing patient forms.  

To overcome these challenges, Forest Park Medical Center chose Intelligent Forms Suite (IFS) from Access, the world’s leading provider of electronic forms (e-forms) management, automation and workflow software. Access IFS is proven to seamlessly integrate with Hyland Software OnBase and all other leading enterprise content/document management (ECM/EDM) systems.  

“From a Health Information Management perspective, we are anxious to work with Access in creating a workflow process to eliminate the use of pre-printed forms,” said Erica Buckley, HIM Director of Forest Park Medical Center. “This process will support our goals at Forest Park Medical Center of achieving a paperless environment.”  

Forest Park Medical Center will deploy Access IFS in the patient admissions department. Once a patient is registered in the MEDITECH HIS, the registrar will simply click a button to assemble a packet of customized patient forms. Access IFS will intelligently map data from the MEDITECH record to pre-fill demographics, speeding forms completion for the patient.  

The patient will then use Access e-Signature to apply an electronic signature to forms via an e-clipboard. This technology enables a patient to endorse an entire forms packet with just one signature and provides biometric information along with the form that protects patient privacy, ensures data integrity and can be submitted for e-Discovery if needed.  

Once the patient has completed and signed the forms, they will be paperlessly ported into OnBase via Access Image Portal. Clinical areas at Forest Park Medical Center will follow a similar process, but will instead print forms on demand via Access e-Forms Repository (EFR), with patient data pre-filled and barcodes that will facilitate auto-indexing when the forms are scanned into OnBase.
